1. Introduction

The Oranjemund Angling Club (“the Club”, “OAC”, “we”, “us”) is committed to protecting the personal information of its members, applicants, and website users. This Privacy Policy explains what information we collect, why we collect it, how it is used, and the choices available to you.

This Policy applies to information collected through the Club website (oac-meob.com), the membership application process, and related Club administration.

2. Information We Collect

When you apply for membership, we collect:

  • Full name and contact details (email, phone number)
  • ID or passport number, and nationality
  • Permanent residential address
  • Emergency contact details
  • Details of the member who invited you, and the trip you attended
  • Any additional information you choose to provide in your application

When you complete payment for membership, payment is processed by our third-party payment provider. We do not store your full card details on our systems.

When you apply for a Meob trip as a member, we collect the trip-related details submitted on the trip application form, together with your assigned Membership Number.

3. Why We Collect This Information

  • To assess and process membership applications in accordance with the Club Constitution.
  • To administer membership records, including assigning membership and tagging numbers, and managing annual renewals.
  • To communicate with you about your application, membership status, trips, and Club events.
  • To contact your emergency contact in the event of an incident during a Club trip or activity.
  • To meet any legal, safety, or regulatory obligations relevant to Club activities, including conservation and angling record-keeping.

4. How We Store Your Information

Your information is stored securely within the Club’s website systems (WordPress/WooCommerce) and associated administration tools. Access is limited to Committee members and administrators who require it to perform their duties, as set out in the Club Constitution.

ID/passport numbers are used solely to verify identity and, where relevant, to determine membership category (e.g. Junior Membership eligibility) – they are not shared outside the Club except where required by law.

5. Sharing of Information

We do not sell or trade your personal information. Information may be shared with:

  • Our website hosting and payment processing providers, solely to the extent necessary to operate the Club website and process payments.
  • Committee members, for the purposes of membership administration described in this Policy.
  • Relevant authorities, where required by law or in the interest of safety during a Club activity.

6. Retention

We retain your information for as long as you remain a member, and for a reasonable period thereafter for record-keeping, historical, and legal purposes. If your membership lapses and is not renewed, your information is retained so that your original Membership Number can be restored to you if you rejoin.

7. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting the Club’s Administrative Officer – Membership. Please note that some information may need to be retained for legal, safety, or record-keeping purposes even after a deletion request.

8. Cookies and Website Use

The Club website may use standard website functionality (such as login sessions and shopping cart functionality) that requires small amounts of data to be stored in your browser. This is used only to operate the website and is not used for advertising or tracking purposes.

9. Changes to this Policy

This Policy may be updated from time to time as the Club’s systems and processes develop. The current version will always be available on the Club website.
